Guidelines for Receiving Theses and Dissertations at UFC
The University Library (BU) collects and disseminates theses and dissertations defended at the University through the Institutional Repository (RI) and the online catalog (Pergamum), both publicly accessible. The digital publication of theses and dissertations produced by recognized master’s and doctoral programs is a criterion considered in the evaluation of graduate courses.

Cataloging Record
To streamline the cataloging in publication process, the UFC Library System’s Standardization Committee offers the Cataloging Record Generation Module. This tool was developed by librarian Felipe Ferreira da Silva from UFC Crateús Campus, based on source code provided by the Library of the Institute of Mathematical and Computer Sciences at USP.
The Cataloging in Publication (CIP) record is a mandatory element in academic works. It describes bibliographic information in detail, such as author, title, publisher, year of publication, ISBN/ISSN, and subjects, following the Anglo-American Cataloguing Rules (AACR2). The record will be generated based on the data entered by users, who are fully responsible for the accuracy of the information.

Guidelines for Diploma Requests (Master’s and Doctorate)
- Thesis/dissertation published in the Institutional Repository of UFC (by Coordination).
- Send the final version in PDF and Word to the Coordination email: bioqufc@ufc.br
- Send the English title to the same email: bioqufc@ufc.br
- Include the English title in the abstract of the Word document (by student).
Diploma Issuance (Required Documents):
- Diploma request form (fill out and print).
- Copy of the defense minutes (by Coordination).
- Photocopy of undergraduate diploma (for Master’s) or undergraduate and master’s diplomas (for Doctorate), front and back.
- Photocopy of ID document, front and back (must include place of birth).
- Library clearance certificate.
- Updated Lattes Curriculum (Academic background/degree information).
Diploma Approval (by Coordination):
- Process number issued by UFC’s SEI System.
Important Notes:
For works under embargo, the following documents must be included in the submission process to the Institutional Repository, along with the thesis or dissertation:
- A completed and signed authorization form.
- Supporting document justifying the need for the embargo.
Article 9 – The following are mandatory deposit documents in the Institutional Repository:
II – Theses and dissertations defended in UFC’s Graduate Programs.
Article 11 – The availability of academic works in the Institutional Repository (RI) may be open access or temporarily restricted/embargoed.
- §1 – For restricted/embargoed access, justification and supporting documentation must be provided.
- §2 – The embargo period is up to 2 years, starting from the date of submission of the mandatory metadata and abstract, and may be renewed for an equal period.
- §3 – To extend the embargo period, a request with justification and documentation must be submitted before the 2-year limit, through the library.
Article 12 – Works eligible for temporary restriction/embargo in the Institutional Repository include:
- I – Publications with commercial purposes or those under temporary copyright restrictions.
- II – Documents containing research results eligible for patenting, provided the author presents justification and supporting documentation proving eligibility.
